Administrative Assistant

Duties: Assists Associate Director of Early College Program. Serves as academic coordinator for all department courses and workshops. Manages purchase, storage, and distribution of all instructional supplies, equipment, and materials. Manages and processes all department payment and reimbursement invoices. Schedules and oversees all special events including catering and facility arrangements. Oversees weekend and summer evening workshops. Distributes and collects all faculty/course evaluations.

Qualifications: BA or BFA is preferred. Experience working in higher education or an arts organization is preferred. Must possess excellent computer skills including MS Word and Excel. Must have excellent organizational and communication skills. Must have the ability to handle multiple tasks simultaneously. Willing to work occasional evenings and weekends.

Assistant to the Vice President
Department: Marketing Enrollment

Duties: Assists the Vice President and leadership team for enrollment with administration of office activities for undergraduate, graduate and financial services. Provide support for meetings and special events, management of budget processing and tracking, and coordination of special projects. Research and coordinate review of contracts with off-site venues for undergraduate and graduate events. Mange calendar, phone, meeting minutes, project updates and correspondence for Vice President. Budget & Payroll Coordinator
Department: Physical Plant

Duties: Provides accounting and inventory control functions for the Department of Physical Plant. Records and processes all time reporting on each employee of the department. Compiles documentation for accurate audit trail. Responsible for maintaining on a day-to-day basis, all charges for functioning areas within the Physical Plant, including purchases, internal charges and exhibition charges. Provides budgetary support for Executive Director and department managers.

Qualifications: Accounting experience required. Excel and Word proficiency required; PeopleSoft experience desirable. Must possess excellent organizational and interpersonal skills. Should be detail and customer service oriented. Has a working knowledge of Department functions and has the ability to respond promptly and effectively to phone inquiries during periods of high volume activity.

Housekeeper – Museum*
Department: Physical Plant Cleaning

Duties: Under immediate supervision, performs custodial duties in an assigned area to assure a clean, safe building environment with a high appearance level. Does related work as required.

Qualifications: Previous cleaning experience desired. Ability to operate automatic floor machines, wet/dry vacuum, high pressure washers, buffers and similar equipment preferred. Must be able to follow written instructions.

Retail Assistant*
Department: Museum Shop

Duties: Assists customers in making purchases by answering questions, showing the merchandise to the customer, and completing the sale.  Maintains the display of merchandise by keeping the display area clean, dusting and cleaning the merchandise, pricing and restocking merchandise. Closes out the cash drawer of the register at the end of the day, itemizing all receipts, and preparing the "bank" for the next day.   Prepares for and counts merchandise for physical inventories and as requested by management.  Performs all other assigned duties as assigned by management.

Qualifications: Must possess good math skills and excellent customer contact skills. Prior sales clerk experience required.   Should have professional demeanor and appearance appropriate for retail specialty store.

Temporary Visitor Services Assistants
Department: Visitor Services

Duties: Acts as the first museum contact for visitors. Serves to create a positive museum experience for visiting public and members by providing assistance in the following roles: selling and processing admission to the museum, special exhibitions and programs, selling memberships and other products, performing checkroom duties, ticket taking, crowd control, capturing visitor data, providing visitor information, and performing other duties as required.

Qualifications: Must be able to interact with the public in a courteous, friendly manner. Should be able to communicate clearly and articulately. Prior cash handling experience is necessary.
